Terms & Conditions
These Custom Travel Network, Inc. (“CTN”) Terms & Conditions apply to Bespoke and Tailor Made journeys for individuals, couples and small groups departing between January 1, 2023 and December 31, 2023.
Included in Journeys
All accommodations, meals, English-speaking guides and sightseeing, either private or shared as noted in the itinerary; park and entrance fees except where explicitly noted; arrival and departure transfers; water and other beverages specified in the itinerary at included meals; local bottled water during sightseeing; and hotel taxes (with the exception of Italian city taxes which are by law to be collected on the spot upon check-out).
Not Included in Journeys
Travel insurance; international and internal airfares, unless otherwise noted; costs associated with obtaining passports or entry visas; reciprocity and other border fees; airport departure taxes, unless otherwise noted; excess baggage charges; all gratuities; meals other than those specified in the itinerary; beverages other than those noted in inclusions above or specified in the itinerary; any meals for your guide if you invite him/her to dine with you; sightseeing not included in the itinerary; and personal expenses such as laundry, communication charges, Internet access; and optional activities (which are subject to availability).
Hotel Check-in
Most hotels allow check-in to take place during the midafternoon (2:00-3:00PM). Should you wish to have a guaranteed room ready for your immediate check-in upon earlier arrival, it can be arranged for an additional charge. Please ask CTN for details and prices.
Special Requests
Specific requests such as adjacent or connecting rooms, types of beds, smoking rooms and special dietary needs should be advised at time of booking. Please note that while every effort will be made to secure a special request, it cannot be guaranteed.
Itineraries
CTN reserves the right to modify program itineraries, including arranged sightseeing, and substitute accommodations, including vessels and trains, at any time due to unforeseen circumstances or those beyond CTN’s control. Every effort will be made to operate itineraries as planned, but alterations may occur after the final itinerary has been issued. All scheduled sightseeing has been confirmed in advance, but venues including private venues, museums and other points of interest can change their hours of operations at short notice. If this occurs, your guide will offer alternative arrangements.
Air Transportation
International airfare (to the journey starting point and from the ending point) is not included in program pricing. CTN has special agreements with many air carriers and can offer quotations from any gateway. Some journeys require internal flights as specified in the itinerary. This airfare is typically not included and must be purchased from CTN in addition to the journey. In the instance where charter flights are used and seating is limited, CTN reserves the right to substitute and confirm air reservations on a suitable alternative scheduled air flight. All internal air is based on economy class seating and is 100% non-refundable at time of air purchase. All international and internal air quotes are subject to change until final payment has been received by CTN. Flight confirmation is based on availability. Air reservations cannot be confirmed until a passport copy or scan is received by CTN.
All air carriers are independent contractors and are not owned, managed, controlled or operated by CTN. Your airline ticket constitutes a contract between yourself and the airlines (and not CTN), even if purchased through CTN. CTN is not liable for, and does not assume responsibility or accept claims with regard to, seat assignments, name changes, schedule changes, flight changes and/or cancellations. Should you change or cancel your air transportation arrangements before or after your travel begins, all airline change and cancellation fees will apply.
Baggage
If agreed upon in the trip contract, CTN can provide porterage of up to two (2) pieces of baggage per person. Please note should your journey include internal/domestic or charter flights, your luggage allowance may be less than two (2) pieces of baggage and weight/size restrictions may apply. Details will be provided in your Pre-Travel Documentation. Baggage and personal effects are at the owner’s risk throughout the travel program, and CTN assumes no liability for lost or damaged baggage. Please check with your international carrier for other baggage restrictions and fees applicable to your international flights.
Prices and Arrangements
Quoted program prices are per person, double occupancy except where indicated. Although not expected, published prices may be modified due to unexpected significant external factors not forecasted. CTN is under no obligation to give a breakdown in costs of any journey. The pricing outlined in the journey proposal reflects discounted packaged rates granted by our local partners based on the full scope of services quoted; any subsequent itemization request may result in a cost increase. CTN reserves the right to collect a non-refundable Professional Journey Planning Deposit in the amount of $ 500.00 per booking after the second itinerary revision, which will be credited in full toward the trip cost at the time of booking. Any modifications to a Tailor Made itinerary, including dates or number of people travelling, will require a revised proposal.
Active Elements & Conduct
Some active elements have been incorporated into select itineraries. To enjoy the trip as intended, a minimum level of fitness is required. CTN will require notice if any participant has any physical or other condition or disability that could create a hazard to him or herself. CTN reserves the right to decline acceptance of anyone whom it considers unsuitable due to fitness level. CTN also reserves the right to remove from the trip, at the participant’s own expense, anyone whose physical condition or conduct negatively impacts the enjoyment of the other guests.
Passports and Visas
It is the guest’s sole responsibility to obtain, and have available when necessary, the appropriate valid travel documents. All guests are advised to check with the appropriate government authority to determine the necessary documents. A valid passport is required for U.S. citizens travelling to all international destinations. Passports must be valid for six (6) months after the return of your journey and should also have sufficient blank pages for visas and immigration stamps. Many destinations also require a visa for U.S. citizens; this will be indicated in your Pre-Travel Documentation. Non-U.S. citizens should contact the appropriate consular office for entry requirements pertaining to their journey. If you do not have proper documentation, you may be refused boarding or disembarked from a vessel, without CTN being liable for refund, payment, compensation or credit of any kind. You will be subject to any fine or other costs incurred by CTN, which result from improper documentation or non-compliance with applicable regulations..
Reservation and Payment Schedule
Deposit per person required at time of booking. A deposit of 25% of the total Program Price, plus 100% of any non-refundable items such as internal air fare is required at the time of booking unless stated otherwise in the itinerary. Final payment is due on or before 60 days prior to departure. Reservations made less than 60 days prior to departure are to be paid in full at time of booking. Additional deposits may be required for planes, vessels and trains, including private charters; exclusive, private use of accommodations or venues; and groups of 15 or more. Payments can be made by check, money order, Amex, Visa or MasterCard.
Child Policy
No minimum age is required unless noted on the itinerary and all children under age 18 must be accompanied by an adult. Some activities contained within an itinerary may have a different age restriction than the overall minimum age requirement. Details will be provided at the time of booking.
Cancellation Charges
Cancellations must be received in writing and will become effective on the date of receipt, fax or email. Cancellations received by CTN are subject to the following:

Exceptions may apply for certain services, details will be advised at time of booking.
Changes to the Itinerary: clients will be responsible for any changes or cancellations made to the itinerary at their request or beyond their control, before or during travel, including expenses incurred due to a change, delay or cancellation of any flights. If a client cancels or leaves a journey and a roommate remains, an additional supplement may apply to the price for the remaining client.
Cancellation Charges for Extra Services
Additional hotel nights and other extra services booked in connection with CTN journeys are subject to specific cancellation penalties. These will be provided at the time of booking and noted on the invoice.
Postponements
Travelers may request itinerary alterations, or a postponement of the trip by 24 months from the original departure date for any reason up to 30 days prior to the trip start date and receive full credit towards future travel with Custom Travel Network.
Claims and Refunds
Refunds are not made for any missed services, except for verifiable, extenuating circumstances. Please see our Limits on CTN’s Responsibility clause below. For verifiable claims to be considered, they must be received in writing within 30 days of the termination of the program and be accompanied by supporting documentation and/or a statement from the local destination company verifying the claim. Any adjustment consideration will be based on the actual price of the services involved and not on a per diem basis. Adjustments will not be made for unused sightseeing trips or meals. CTN will not accept any liability for any claims that are not received within 30 days of the termination of your journey.
Client’s Representations
The client represents that neither he nor she nor anyone travelling with him or her has any physical or other condition or disability that could create a hazard to himself or herself or other members of the journey. CTN reserves the right to decline to accept anyone on a trip, and to remove from the trip, at his or her sole expense, anyone whose condition is such that he or she could create a hazard to himself or others, or otherwise impact the enjoyment of other guests on the trip.
ANY PAYMENT TO CUSTOM TRAVEL NETWORK CONSTITUTES YOUR ACCEPTANCE OF THE TERMS AND CONDITIONS SET OUT HEREIN AND IN MORE SPECIFIC PRE-TRAVEL DOCUMENTATION.
Travel Advisories and Warnings
It is the responsibility of The Traveler to become informed about the most current travel advisories and warnings by referring to the U.S. State Department’s travel website at www.travel.state.gov or by phone at 1-888-407-4747. In the event of an active State Department Travel Warning against travel to the specific destination location/s of the trip, should The Traveler still choose to travel, notwithstanding any travel advisory or warning, The Traveler assumes all risk of personal injury, death or property damage that may arise out of the events like those advised or warned against.
Custom Travel Network’s Limit of Responsibility
Except where otherwise stated in these Terms & Conditions, neither Custom Travel Network nor any Third Party Supplier can accept liability or pay compensation where our performance of our or our supplier’s contractual obligations is affected by or you otherwise suffer any damage or loss as a result of force majeure. In these terms and conditions force majeure means any event which we / the supplier of the service(s) or the third party supplier could not, even with all due care, foresee or avoid. Such events may include but not be limited to; actual or threatened war, riot, civil strife, terrorist activity, industrial dispute, natural or nuclear disaster, adverse weather conditions, epidemics, fire, and all similar events outside the control of the party concerned.
Custom Travel Network makes arrangements with airlines, hotels and other independent parties to provide the travel services you purchase. We do not own or operate any of the accommodation, transport or other facilities used in connection with our programs. We therefore cannot accept liability for negligence of the` staff of these organizations. These parties are independent suppliers over whom we have no direct control. Custom Travel Network is not liable in the event of any failure by any person or company to render any transportation, accommodation or other travel service to be provided on the journeys, or for expenses incurred due to delays caused by weather, strikes, war, civil disturbances, natural disasters, flight delays, government actions, mechanical failures or any acts of God. Custom Travel Network cannot assume any responsibility for flight delays, cancellations or missed connections and is not liable for any expenses or consequences resulting therefrom, and such expenses are to be borne by the traveler. When you travel with an airline the Conditions of Carriage of that airline will apply. These conditions are the subject of International Agreements and may limit or exclude liability. Your travel agent or airline can advise you of these conditions. The participant waives any claim against Custom Travel Network for any damage to, or loss of, property, or injury to, or death of, due to any act, or negligence of any airlines, surface transportation companies, hotels or any person rendering any of the services or accommodations included. Custom Travel Network cannot be held responsible for any claim, losses, damages for delay of baggage or other properties, inconvenience, loss of enjoyment, upset and disappointment, distress or frustrations, whether physical or mental, resulting from the act or omission of any party providing services.
The participant assumes and understands that all travel has inherent risk that may result in injury or death from participation in activities, including but not limited to, driving, hiking, walking, touring, visiting archeological sites, walking on uneven surfaces, riding on rough roads, rafting, boating, canoeing riding in helicopters, on trains, boats, swimming, surfing, horseback or camel riding, and any other activities. Participant knows and is familiar with the activities in their itinerary and is able to confirm that they meet the physical requirements to participate.
All services are subject to the laws of the countries in which these services are rendered. Venue for all claims or disputes shall be exclusively in Orange County, California, U.S.A., whose courts, using California Law, shall have exclusive jurisdiction. Damage claims against Custom Travel Network `shall be limited to the value of the particular item in dispute and not for any incidental, consequential, or special damages. Custom Travel Network assumes no responsibility for representations made by others including, but not limited to, any employee of Custom Travel Network or independent travel agent. Payment for reservations on any Custom Travel Network travel arrangements shall constitute consent to all the provisions in the Booking Terms & Conditions published herein and is binding on all travel participants.
